Job Purpose: To provide exceptional customer service to ensure the highest possible standards to our clients and customers. This role provides a professional and engaging first point of contact for the visitors, client and building occupants. Positioned on level 1 event floor reception, the employee will have ownership of the reception desk and sitting area, cloakroom and will be assisting the events and guest services teams with admin tasks. Posses a flexible attitude and be helpful and assist all service partners on level 1. Flexible cover of reception according to events on the day. Key Tasks: Assisting with welcoming of guests, visitors and staff into clients head office and ensuring the guest journey is seamless Guest registration Preparation of security passes and name badges for groups and events Manning the events registration desk as and when required Building a strong relationship with the clients Where required escorting VIP’s to client facing meeting space Responsible for assisting clients when booking meeting room and events space in 10 Paternoster Square Working with the clients events team and Executive Assistants to ensure all ensure all necessary documentation is completed and obtained in a timely manner and host understands requirements Answering calls and emails relating to any events / client meeting Covering all Guest Services positions as and when required (Property Helpdesk / Reservations) Knowledge, understanding and managing of the company’s Facilities Management helpdesk system to ensure any open tickets are followed up with the correct service partner and escalated where required. Assisting with the cloakroom on the arrival and departure of event attendees. Prepare name badges, making sure the event reception area is in perfect condition. Welcoming all attendees and employees to the events floors, showing the attendees to their rooms. Have knowledge of the floor, location of rooms and daily schedule of events. Assist with admin tasks (printing name badges, guest lists and any other admin jobs for the events and guest services teams). Cover the desk on a rotation, being flexible and work around the events. Success Measures Success in this role will be measured through defined targets as follows: Feedback from the client and guests Receiving no complaints Education Hold academic passes with at least GCSE Maths and English or equivalent. Higher educational qualifications to ‘A’ level or degree (or equivalent) (Desirable) Skills High end customer service background IT Skills to achieve key tasks and give the business a sound reporting base. Verbal communication skills Formal training in the use of Excel, Word and presentation software packages (Desirable) Knowledge A basic understanding of business and customer-facing environments. Understands the requirements of operating in a contract environment. (Desirable) Experience Been a part of a high-performing customer services team.
