We have an exciting opportunity for you to join our Property Department as a Legal Secretary, primarily concentrating on commercial property work, but knowledge of residential property work would be an advantage. You will be working alongside a team of experienced secretaries, supporting our fee earners in delivering exceptional legal services. Key responsibilities: Prepare correspondence and documents using audio typing and our practice-management system. Provide administrative assistance, including daily filing and managing client files. Prepare mail and enclosures for dispatch. Coordinate copying tasks, ensuring completion when the Office Assistant is unavailable. Schedule appointments, arrange meetings, and maintain an up-to-date diary for fee earners. Book conference rooms through reception for necessary meetings. Support other secretaries and fee earners as required. Guide junior and temporary secretaries when needed. Assist clients in person, on the phone, and digitally, maintaining a professional and friendly approach. Undertake any necessary training and embrace self-development opportunities. Maintain confidentiality of the firm’s files and client documentation. Perform additional tasks within the scope of the role, as reasonably requested by the firm. Additionally, the role requires delivering excellent client care, maintaining strict confidentiality of sensitive information, showcasing proactivity and initiative, and fostering teamwork with strong interpersonal skills. What we are looking for: Qualifications & Skills: Good general level of education. Desirable: Qualification specific to the role, provided or accredited by the Institute of Legal Secretaries. Experience in commercial and residential property work. Familiarity with legal billing procedures and a client-focused environment. Fast and accurate audio typing and word-processing skills. Proficiency in MS Office and relevant software. Familiarity with document and case management systems. Document production skills.
